About the Role
The Purchasing and Inventory Officer is responsible for overseeing the procurement of goods and materials, managing inventory levels, and optimizing the supply chain to ensure the organization operates efficiently and cost-effectively. This role involves collaboration with suppliers, internal departments, and management to meet the company's inventory needs and cost objectives.
Duties and Responsibilities:
- Procurement Management:
- Identify procurement needs by collaborating with various departments and stakeholders.
- Research and evaluate potential suppliers based on quality, cost, reliability, and delivery performance.
- Negotiate terms and conditions with suppliers across the Metro and Islands, including pricing, payment terms, and delivery schedules.
- Prepare and process purchase orders and ensure timely delivery of goods.
- Maintain accurate records of procurement activities and supplier contracts.
- Supplier Relationship Management:
- Cultivate strong relationships with suppliers to ensure reliability and quality of supplies.
- Resolve supplier-related issues, such as delivery delays, quality problems, or disputes.
- Continuously evaluate supplier performance and identify areas for improvement.
- Inventory Management:
- Monitor and maintain optimal inventory levels to meet production and customer demand while minimizing carrying costs.
- Conduct regular inventory assessments and reconcile discrepancies.
- Implement inventory control procedures to prevent overstocking or understocking across the stores.
- Analyze usage patterns and forecast demand to plan inventory replenishments.
- Dispose of obsolete or surplus inventory as necessary.
- Documentation and Reporting:
- Maintain accurate records of purchases, inventory levels, and supplier information.
- Prepare reports on key performance metrics, such as inventory turnover, cost savings, and supplier performance.
- Provide regular updates and reports to management.
- Cost Management:
- Identify cost-saving opportunities in the procurement and inventory processes.
- Analyze price trends and market conditions to make informed purchasing decisions.
- Work to reduce procurement costs while maintaining quality standards.
