The Administrative Manager will oversee and manage the daily administrative operations of the organization, ensuring efficiency, compliance, and resource optimization. This role requires leadership in office management, facilities coordination, construction management, and support for IT and other organizational functions.
A. General Administration:
- Ensure timely processing of billing and statement of accounts (SOA) for utilities, leases, deposits, insurance, real
- property tax, and telecommunications services.
- Maintain effective communication with lessors, mall management, and building administrators to address billing and facility-related concerns.
- Monitor and ensure timely processing of government regulatory permits for office and store operations.
- Manage and monitor the administrative petty cash fund.
- Improve and streamline reimbursement procedures.
- Lead and assist in organizing company events and donation drives.
- Monitor and maintain records of contracts and agreements.
B. Facilities and Office Management:
- Ensure offices and stores are equipped with necessary resources and office equipment to facilitate smooth
- operations.
- Develop and manage office workflow systems (e.g., room reservations).
- Create and maintain a comprehensive filing system for documents and plans.
- Oversee facility services, preventive maintenance schedules, and trade services.
- Develop and implement guidelines and standard procedures for asset management of office equipment, furniture, and fixtures.
- Ensure safety, security, and maintenance of all office locations.
C. Construction Management:
- Monitor construction progress and report updates, issues, and concerns to management.
- Assist the Construction Engineer in managing construction projects.
- Lead contractor sourcing and bidding processes.
- Ensure construction agreements/contracts are reviewed by Legal Counsel.
- Communicate and coordinate with contractors, trade persons, engineering consultants, and mall management
- regarding construction updates and progress.
D. Information Technology:
- Support the development and enhancement of IT infrastructure and equipment.
- Monitor IT-related issues and concerns, facilitating communication between internal departments and the IT team.
- Develop and refine guidelines and procedures for IT asset management, including desktops, laptops, peripherals, mobile phones, and SIM cards.
E. Other Tasks:
- Monitor task trackers and ensure timely updates from administrative team members.
- Oversee and manage special projects as assigned.
- Develop and implement Standard Operating Procedures (SOPs) to streamline processes.
