Manages the timekeeping process by gathering, arranging, and summarizing employees' attendance records, including timesheets, leave, official business, and overtime via the HRIS portal per cut-off period.
Verifies the total required hours worked, extended hours, and other timekeeping-related aspects for each employee per brand.
Checks timesheets and overtime requests for record-keeping.
Records daily attendance concerns for all employees.
Generates a semi-monthly summary report highlighting discrepancies or misconduct in timekeeping by employees for immediate action.
Prepares Incident reports every cut-off (10th and 25th of the month) documenting attendance discrepancies per employee.
Creates a weekly attendance monitoring report, including details on promoted, resigned, and newly hired employees.
HRIS
Monitors daily shift attendance concerns, including but not limited to:
Change rest day
Filing of attendance related concerns (vacation leave, sick leave, leave without pay, overtime, undertime, official business)
Certificate of Attendance
Schedule Adjustment
Monitor daily logs of employees in the HRIS system for missing and incomplete logs
Send cutoff filing reminders to all employees every 10th and 25th of the month.
Coordinate and remind department managers regarding pending approval of requests in the system.
In charge of any system-related concerns through the HRIS System
Recruitment
Assists the HR Officer in posting job vacancies on various portals.
Conducts paper screenings and schedules interviews for shortlisted applicants.
Prepares HR-related forms for onboarding (application forms, ATM forms, employment information updates) and offboarding (clearance forms, exit interview questionnaires, quitclaim forms).
Oversees background checks and collects employee onboarding requirements.
Monitors the submission of pre-employment requirements by employees and reports to the HR Officer.
Employee Engagement
Prepares employee tokens, including birthday gifts, cakes, gift vouchers, anniversary gifts, and creates art cards using tools like Canva.
Assists the HR Officer in planning and executing HR-related activities such as Team Building events, General Assemblies, etc.
