Coordination Responsibilities
- Act as an all-around coordinator, ensuring smooth communication and workflow between clients, account officers (AO), and other relevant parties.
- Maintain organized records and documentation for efficient processing of requests and transactions.
Client Communication & Support
- Group Chat (GC) Assistance: Monitor and respond to client inquiries in designated group chats, providing timely updates and addressing concerns.
- Phone Calls: Handle incoming and outgoing calls to assist clients with inquiries, policy details, claims, and other concerns.
- Client Communication: Ensure clear and professional communication with clients regarding policy issuance, claims assistance, and banking-related matters.
Policy Issuance & Claims Processing
- Issue Insurance Policies: Process and release insurance policies based on approved quotations and client requests.
Online & Offline
- Claims Assistance: Guide clients through the claims process, ensuring proper documentation and timely submission.
- Policy Renewal Notices: Send renewal reminders to clients, ensuring continuity of coverage and addressing any concerns.
Bank Documentation & Transactions
- Send Bank-Related Documents: Prepare and submit necessary banking documents related to insurance transactions.
- Manage Bank Copy Dispatch & Delivery: Ensure proper handling and delivery of bank copies for insurance policies and related transactions.
- Online and Offline submission
Account Officer (AO) Concerns & Coordination
- Tandem System: Work closely with account officers to ensure seamless coordination in policy issuance, claims processing, and client communication.
- Reporting & Feedback: Provide regular updates and reports to account officers regarding client concerns, policy status, and claims progress.
ISO Preparation & Premium Computation
- Preparing ISO: Ensure compliance with ISO standards in documentation and processing.
- Compute Gross and Net Premiums: Use the system to accurately calculate premiums for insurance policies.
System Utilization & Formal Quotations
- Use System: Navigate and utilize the designated system for policy issuance, premium computation, and documentation.
- Make Formal Quotations: Prepare and submit formal quotations based on client requests and underwriting guidelines.
- Request & Issue Policy: Process policy requests and ensure timely issuance.
Renewal & Contact Management
- Send Renewal Notice: Notify clients of upcoming policy renewals and assist with necessary documentation.
- Contact Person Directory: Maintain an updated directory of key contacts for efficient communication and coordination.
Education
- High school diploma or equivalent (required).
- Associate's or Bachelor’s degree in Business Administration, Insurance, or a related field (preferred).
Experience
- 1 years of experience in an insurance or administrative role, preferably in a customer service or coordinator capacity.
- Experience in the insurance industry (auto, home, life, etc.) is a plus.
Skills
- Basic knowledge of insurance products, policies, and claims processes.
- Strong organizational skills and attention to detail.
- Excellent communication skills, both verbal and written.
- Ability to handle multiple tasks and prioritize efficiently.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and experience with insurance management software (e.g., AMS, Epic, or similar platforms).
