Brief Position Description:
The Office Administrator (OA) ensures that the office runs efficiently by managing administrative activities across all departments.


Minimum Qualifications & Experience:

  • Secondary school qualification and preferably a college or university certificate or a degree in a life science or business related field.
  • At least 1 year of experience within the pharmaceutical industry and/or at least 1 year of experience in an administrative role.
  • Excellent verbal and written English communication skills.

Responsibilities:

  • Maintaining the office space, furniture and fittings, and liaising with vendors to ensure that they are kept clean and in good repair. Maintaining adequate office stationery and pantry supplies.
  • Ensuring that the office IT equipment and systems are functioning effectively and liaising with the IT Department and local vendors to address deficiencies.
  • Providing administrative services to the Finance department, including banking and petty cash activities.
  • Providing administrative services to the Business Development department, including assistance with promotional materials, feasibility studies, budgets, and agreements.
  • Providing administrative support to the Clinical Operations department, including set-up and maintenance of project files, preparation of ethics and regulatory submissions, distribution and tracking of study information and supplies, and investigator meeting coordination.
  • Organising training sessions and other meetings (including room and equipment set-up, and preparation of training materials, invitations, logs, agendas, and minutes as required).
  • Providing administrative support to the Human Resources department, including advising on local policies and practices, preparing new employee welcome packs, and training of new staff.
