Job Title: Sales Encoder


Job Summary:

The Sales Encoder is responsible for accurately recording, updating, and maintaining sales-related data in the company’s database or system. This role ensures that all transactions, customer information, and sales records are entered correctly and efficiently while providing support to the sales team and professionally assisting customers.


Key Responsibilities:

  • Accurately input, encode, and verify sales and customer data into the company’s database or information system.
  • Ensure the timely and precise entry of sales transactions, invoices, and related information.
  • Review and correct discrepancies in data entries to maintain the integrity and accuracy of sales records.
  • Organize and maintain both physical and digital sales documents for easy access and retrieval.
  • Coordinate with the sales and accounting teams to clarify information and resolve data-related issues.
  • Follow established protocols, guidelines, and security measures to safeguard sensitive company and customer information.
  • Utilize computer software and database systems to perform data entry and administrative tasks efficiently.
  • Maintain a high level of confidentiality and discretion when handling sensitive or proprietary information.
  • Maintain a positive, empathetic, and professional attitude toward customers at all times.
  • Respond promptly to customer inquiries through various communication channels.
  • Acknowledge and resolve customer concerns or complaints in a timely and professional manner.
  • Demonstrate a thorough understanding of company products and services to answer customer questions effectively.
  • Process orders, forms, applications, and requests accurately and efficiently.


Job Qualifications:

  • College-level or graduate of any business-related course (undergraduates are welcome to apply).
  • At least 1 year of experience in data encoding, sales support, or related administrative work is an advantage.
  • Proficient in Microsoft Office applications (Excel, Word) and familiar with database or ERP systems.
  • Strong attention to detail and accuracy in data entry.
  • Excellent organizational and time-management skills.
  • Good communication and interpersonal skills.
  • Ability to work independently and collaboratively with other departments.
  • Customer-oriented and able to handle inquiries professionally.
