Role Summary
Our client is looking for a Reconstruction Project Coordinator who will help coordinate and monitor active reconstruction jobs. He/she will work closely with estimators and superintendents to track job progress, update systems, manage documents, and help ensure jobs stay on time and within budget. This is a remote role with clear communication and proactive follow-up being key to success.
WORK SCHEDULE: 9:00 AM – 6:00 PM Mountain Daylight Time (11:00 PM – 8:00 AM Philippine Standard Time), follows Philippine holidays

Essential Functions
- Perform the following project coordination and tracking duties:
- Review project files and estimates in Xactimate and CRM to understand job scope
- Support creation and organization of work orders and budgets
- Track project progress and follow up with superintendents for updates
- Help maintain and update project timelines in BuilderTek or Salesforce
- Ensure all permits, licenses, and compliance documents are tracked and organized
- Perform the following communication and team support duties:
- Act as a bridge between field teams and internal departments
- Communicate with team members and customers about project milestones (via email, CRM, etc.)
- Schedule subcontractors based on timelines and budget allocations
- Follow up on open items or delays and raise flags if action is needed
- Perform the following data entry and system management duties:
- Keep CRM and project management software up to date with photos, notes, and communications
- Log subcontractor invoices, approvals, and changes in scope
- Help with estimating team coordination (scope walks, site visit documentation, etc.)
- Track and report on key job metrics like timelines, costs, and margins
Qualifications
- A Bachelor’s degree in the related field is preferred
- 1–3 years in project coordination, construction admin, or virtual assistant work is preferred
- Familiarity with construction or restoration terms is a plus, but not required
- Experience with CRMs or project management tools
- Comfortable learning new software (e.g., Salesforce, BuilderTek, Xactimate)
- Strong written and verbal English communication
- Organized and detail-oriented; follows through consistently
- Proactive—asks questions and follows up without waiting
- Problem-solver who can track down missing information or flag issues early
