Position Title: Recruitment Administration Assistant

Work Set-up: Work from Home

Schedule: 5:00 AM – 02:00 PM

Salary: Php 35,000 – Php 40,000


We are seeking a Recruitment Administration Assistant to support our placements and timesheets process. The ideal candidate will have a keen eye for detail, strong organizational skills, and the ability to work efficiently in a fast-paced environment. Experience with JobAdder and Deputy is a plus.

Placements is essentially data entry. Timesheets is chasing up candidates & clients to submit or approve things in the timesheet system, and answering some really basic enquiries with the information in those systems

This role is essential in ensuring accurate placements, maintaining up-to-date records, and managing timesheet approvals, all while supporting the recruitment and operations teams with administrative tasks.


Responsibilities:

  • Placements & Data Management:
  • Check all booked shifts on Deputy to ensure placements are active in JobAdder.
  • Create any required placements for each account manager or provide them with a list of required placements based on their preference.
  • Update placements as needed, such as when rate changes occur.
  • Ensure all jobs & placements contain the necessary details and are formatted correctly as per company standards.
  • Timesheet Management & Approvals:
  • Follow up on all outstanding timesheets and approvals each week.
  • Ensure all timesheets are accurate and processed in a timely manner.
  • General Administration & Support:
  • Perform ad-hoc administrative tasks within the admin & operations team.
  • Assist with any additional duties related to placements, timesheets, and recruitment support.


Qualifications:

  • College graduate of any 4-year course
  • Minimum of 2 - 3 years of experience as a Recruitment Administration Assistant or in a similar role.
  • Excellent English communication skills, both verbal and written.
  • Experience with JobAdder and Deputy is a plus.
  • Strong data entry skills with high accuracy.
  • Exceptional attention to detail, efficiency, and strong organizational skills.
  • Ability to multi-task and prioritize effectively.
  • Strong interpersonal and people skills.
  • Ability to adapt to a fast-paced environment, experience with high volume requisitions and can handle urgent requirements on short notice.
