1. Sales Support & Coordination
- Assist the sales team with preparing quotations, proposals, and sales contracts.
- Coordinate with customers to follow up on orders, deliveries, and outstanding documents.
- Maintain accurate customer records and update the CRM or sales database.
- Support sales meetings by preparing reports, presentations, and schedules.
2. Order Processing
- Process sales orders and ensure accuracy in pricing, product codes, and terms.
- Coordinate with logistics, warehouse, and accounting departments for order fulfillment.
- Monitor shipment schedules and ensure on-time delivery.
3. Documentation & Reporting
- Prepare sales reports such as weekly/monthly sales performance, pipeline updates, and order status.
- Maintain organized and updated files for contracts, purchase orders, and customer communications.
- Handle invoice requests and coordinate with the finance team on payments and collections.
4. Customer Service
- Respond to customer inquiries via email, phone, or chat.
- Resolve basic customer issues or escalate them to the appropriate department.
- Build positive and professional relationships with clients.
5. Administrative Tasks
- Organize and schedule appointments, meetings, and business trips for the sales team.
- Assist in preparing marketing materials, catalogs, and product information.
- Manage office supplies and other support needs of the sales department.
Qualification
- Graduate of Bachelor's degree in Business/ Marketing course
- Excellent organizational and multitasking skills
- Above average skills in Business written communication
- Knowledgeable in creating various sales reports
- Work closely with the sales team for the consolidation of various Sales Reports
- With Knowledge in Microsoft applications
- Monitor sales performance metrics and prepare reports for management
- Sales administrative assistants type, file, handle mail, answer phones, and perform other jobs critical to office operations.
- They also process orders submitted by sales reps, check orders for accuracy, and send out invoices.
