The Virtual Assistant will be primarily accountable for managing our team's administrative activities while working remotely. You are expected to produce excellent work with minimum supervision.


In this role, you will need the ability to exercise sound judgment in a variety of situations. Expert in English written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.


With high-level attention to detail and only delivering accurate work on time, you should be able to take a conversation and turn it into a high-quality document and instructions.


Primary duties will include managing the schedule, conducting web research, entering data, managing emails, taking down minutes of meetings, and performing ad hoc work. Must have a strong background in utilizing project management software.


Responsibilities

  • Data Entry and working with applications like Google Sheets, ClickUp, and Dear Inventory.
  • File Management - Organize, and rename files and folders.
  • Respond to emails professionally and arrange them according to priority.
  • Provide customer service as the first point of contact.
  • Manage contact lists and organize Managers’ calendars.
  • Workflow management - assist in managing numerous projects at once and monitor the development of each team member.
  • Regular research on the latest trends, competition, and events that are significant to the company.
  • Attend regular meetings, take down minutes of the meeting, and cascade them to the team in a detailed manner.
  • Conduct market research and report on the results.
  • Prepare presentations.
  • Consistently create standard operating procedures for directions in executing tasks.
  • Other ad hoc tasks.



Job Requirements

  • Proven experience as a Virtual Assistant.
  • Expert-level English written and verbal communication skills.
  • High-level organizational & follow-up skills.
  • Excellent documentation skills.
  • Embraces change and enjoys iterations.
  • Up to date with the latest technical software, project management tools, and many more.
  • Ability to manage a calendar and schedule appointments.
  • Strong time management skills and the ability to multitask.
  • Ability to work in a fast-paced environment.
  • Fresh graduates are welcome to apply.
  • Willing to put in extra work.
