Job Title: Virtual Executive Assistant (VEA) / Remote Operations Coordinator


Location: Remote

Employment Type: Full-time / Part-time (flexible)

Reporting To: Director / Senior Leadership Team


Role Overview

We are seeking a highly organised and proactive Virtual Executive Assistant (VEA) who will also act as a Remote Operations Coordinator. This role is ideal for someone who thrives in a fast-paced, remote environment and can seamlessly balance executive support with operational oversight. You will play a key role in ensuring smooth day-to-day business functions while supporting leadership with administrative and strategic tasks.


Key Responsibilities


Executive Support

  • Manage calendars, appointments, and scheduling across time zones
  • Coordinate meetings, prepare agendas, and take minutes
  • Handle email correspondence and prioritise communications
  • Prepare reports, presentations, and briefing documents
  • Support travel planning and itinerary management (if required)


Operations Coordination

  • Oversee daily business operations and workflows remotely
  • Coordinate between departments, clients, and external partners
  • Track project timelines and ensure deadlines are met
  • Assist with process improvement and documentation
  • Monitor key performance indicators and operational metrics


Administrative & Business Support

  • Maintain accurate records, databases, and filing systems
  • Support onboarding processes and internal communications
  • Manage CRM systems and internal tools
  • Assist with invoicing, basic bookkeeping, or expense tracking (if required)


Key Skills & Experience

  • Proven experience as a Virtual Assistant, Executive Assistant, or Operations Coordinator
  • Strong organisational and multitasking skills
  • Excellent written and verbal communication
  • High level of discretion and confidentiality
  • Proficiency with tools such as Microsoft Office, Google Workspace, and project management platforms (e.g., Asana, Trello, Notion)
  • Ability to work independently and manage priorities effectively in a remote setting


Desirable

  • Experience in recruitment, HR, or consulting environments
  • Familiarity with CRM systems and automation tools
  • Basic understanding of finance/admin processes
