· Quotation Preparation:
o Generate accurate and competitive quotations for field sales representatives to present to clients within agreed-upon turnaround times.
o Ensure that all quotations are clear, complete, and align with company pricing policies.
· Sales Inquiry Management:
o Track all inquiries from field sales representatives and follow up on pending quotations.
o Ensure that inquiries are converted into actual sales, providing support as needed.
· Client Communication Support:
o Assist field sales representatives by addressing client requests, providing clarifications, and handling negotiations regarding quotations and order processing.
· Sales Documentation:
o Maintain organized records of quotations, sales transactions, and any related documentation for easy reference by field sales representatives.
o Ensure proper filing and easy access to sales records.
· Credit & Payment Coordination:
o Work closely with the credit and collection team to monitor payment terms, credit applications, and collections.
o Ensure that field sales reps are updated on the payment status and client credit conditions.
· Market Pricing & Competitor Analysis:
o Regularly ask for updates from field sales representatives on market prices and competitor activities.
o Provide insights and recommendations on pricing strategies to improve sales outcomes.
· Supply Coordination:
o Collaborate with the purchasing department to ensure timely availability of products.
o Coordinate with logistics to prevent delays in order fulfillment and ensure a smooth supply chain process.
o Work with warehouse team to track inventory levels, coordinate stock availability, and manage shipments to meet customer delivery requirements.
· Order Processing & Fulfillment:
o Ensure effective coordination between logistics, warehouse teams, and field sales representatives to avoid order delays.
o Work closely with logistics to ensure accurate and timely order fulfillment, including monitoring transportation schedules and resolving any shipment-related issues.
o Track the status of orders, ensuring timely and accurate delivery in alignment with customer expectations.
· Reporting & Analysis:
o Provide reports on inquiry conversions, sales support efficiency, and overall sales performance to field sales representatives.
o Track sales data to identify trends and areas for improvement in sales processes.
· Education:
o Bachelor's degree in Business Administration, Sales, Marketing, Logistics, or a related field.
· Experience:
o 2+ years of experience in sales support, logistics coordination, or customer service in a sales-driven environment, preferably in the construction or industrial sector.
· Skills:
o Strong organizational skills and attention to detail.
o Excellent communication and interpersonal skills.
o Ability to manage multiple tasks simultaneously and meet deadlines.
o Knowledge of sales processes, logistics coordination, and order management systems.
o Proficient in MS Office Suite (Excel, Word, PowerPoint).
o Ability to analyze market data and pricing trends.
o Experience with CRM and sales tracking software is a plus.
