Process Improvement & Workflow Optimization
- Map and analyze existing processes to identify bottlenecks, redundancies, and inefficiencies.
- Standardize receiving, releasing, procurement, and asset tagging procedures to reduce errors and improve turnaround time.
- Implement KPI-based monitoring systems for each division to measure performance, cost, and service quality.
Data-Driven Decision Support
- Develop dashboards and reports for inventory, procurement timelines, legal document status, and project milestones.
- Monitor vehicle maintenance costs, office utility consumption, and asset depreciation to support cost-reduction strategies.
- Use data analytics to forecast requirements for office supplies, assets, and facility maintenance.
Systems Integration & Digitalization
- Recommend and implement software solutions for asset tracking, contract management, and procurement requests.
- Automate repetitive tasks such as job order logging, inventory monitoring, and project tracking.
- Integrate data from warehouse, procurement, and corporate divisions into a unified reporting platform.
Cross-Division Coordination & Support
- Collaborate with Admin Warehouse & Maintenance to create preventive maintenance schedules for vehicles, offices, and equipment.
- Streamline procurement workflows between head office and stores in coordination with General Services.
- Organize contract databases and set up renewal reminders for the Corporate Division.
- Standardize templates for location evaluation, renovation timelines, and contractor performance tracking for Project Development.
Cost Control & Resource Optimization
- Develop cost analysis models for maintenance, procurement, and store renovation projects.
- Establish supplier pricing benchmarks and negotiate cost-saving opportunities.
- Identify areas for resource pooling (e.g., shared tools, bulk purchasing, centralized inventory) to reduce expenses.
Compliance & Risk Management
- Ensure admin processes comply with company policies, legal requirements, and industry best practices.
- Conduct periodic audits of asset accountability sheets, contract files, and procurement records.
- Bachelor’s Degree in Management Engineering, Industrial Engineering, or a related field.
- Strong analytical and problem-solving skills with experience in process improvement methodologies (e.g., Lean, Six Sigma).
- Proficiency in MS Office, project management tools, and ERP systems.
- Experience in administrative operations, facilities management, procurement, or corporate services is an advantage.
