Our role of the Specialist - People Operations plays a vital role in supporting AMS by serving as a trusted advisor on a wide range of HR matters. Beyond addressing employee queries and resolving issues, this role is instrumental in driving seamless HR processes and ensuring exceptional support for AMS’s people operations.


As a key member in our People Operations function, you will play a crucial role in enhancing employee experiences, optimising HR processes, and driving our organisational values.


Key Accountabilities


What you’ll be doing:


  • Maintain accurate and up-to-date documentation of HR processes and policies, including Sharepoint and system pages and version-controlled documentation. Pro-actively recommend improvements in processes and procedures.
  • Professionally respond to all assigned incoming queries via telephone or email within the required SLA response time and escalate when necessary. Adhere to phone rota and shared mailbox assigning rota timetable.
  • Take ownership of workload distribution and supporting team members with prioritisation where required i.e. training new Team Members.
  • Complete and oversee internal and external HR reports (both regular and ad hoc).
  • Act as SME for complex queries and escalations.
  • Work with Team lead and Principal to review allocated HR administrative processes to create greater efficiencies and ensure legal compliance
  • Ensure the ticket system/shared mailboxes are regularly monitored and managed. Adhere to designated SLAs in mailbox and ticket management. Ensure communication loop is closed, escalate critical items as necessary.
  • Identify opportunities to improve service and processes (e.g. templating common response emails and organising the central filing of these).
  • Build and maintain strong working relationships with internal and external customers.
  • Provide appropriate guidance and support to Line Managers and Employees. Escalate queries to People Operations Principal / Team Leader as required to ensure the customer is fully supported.
  • Liaise with stakeholders on potentially sensitive or difficult subjects in a professional and confidential manner.
  • Work effectively and collaboratively with other team members to learn from their experiences and knowledge.
  • Support on team wide projects to develop technical and professional skills.
  • BAU/EMT - Take ownership and responsibility for carrying out all HR processes on a day-to-day basis. This will include liaising with people of all levels within the organisation and proactively taking ownership of all queries.


Skills & Experience


You’ll need to demonstrate:

  • Minimum 1 year of strong work experience in administration (preferably in HR)
  • Strong English business communication skills, written and oral, plus any specific languages as required
  • Working knowledge of Microsoft packages; Outlook, Word, Excel on a basic level at a minimum.
  • Attention to detail, excellent communication, organisational, problem solving and multitasking skills
  • Experience of working with a variety of internal stakeholders and handling sometimes conflicting views on desired case outcomes
  • Ability to work under time pressure and tight deadlines with a high level of accuracy
  • Ability to work with highly sensitive and confidential data
  • Excellent communication, organisational, problem solving and multitasking skills
  • Ability to process large amounts of data
  • Willing to start by June 2025
  • Willing to work on a shift rotation setup
